With the implementation of the new GDPR regulations that are being enforced on the 25th of May 2018, Baluga Bar and Club (from here on referred to as ‘we’ ‘us’ and ‘our’) felt it was pertinent to outline our private policy. Our aim is to be as clear and open as possible as to what data we collect, how we do it and why.
Information We Collect
As mentioned above, we want to be as open and honest as possible in regards to the information we collect. We collect data from you for a number of reasons including safety, promotional reasons and also for party or guestlist bookings. All data that is collected, either written or electronic, will be protected under these new laws.
Name – We ask for a full name when booking in case we need to contact you regarding bookings or other issues affecting the business.
Address and Postcode – When taking a deposit for a booking over the phone, we will ask you for your address and postcode to verify your card details against it. We ask employees for this so we can send them any important correspondence sent via letter form.
Age and Date of Birth – We need to collect this information to make sure you are eligible to be added to the guestlist due to the age restrictions on the sale of alcohol. This also applies to booth bookings. We request it from employees for both payment reasons and and to determine whether they are the correct age for employment (18+).
Email Address – We may send you emails from time to time regarding promotional offers relating the the business. Before this occurs, you will receive an email allowing you to opt out of this.
Telephone Number – If there is any problem with a booking, it will give us the opportunity to contact you quickly to bring about a quick resolution.
Correspondence – If you contact us via social media or email, we may keep a record of the messages for future reference.
Sensitive Personnel Data – Any sensitive, personnel information collected through correspondence between customers, suppliers and employees is done so to streamline their experience with Baluga.
Photography – We use photography as a way to document the night. We will potentially use some of these images on any social media pages we own or as a way to market the business. By entering the premises, you expressly consent to having your photo taken and used for the above reasoning.
CCTV – CCTV is used to protect customers and employees from potential criminal activity that could occur inside or outside of the venue. The footage is stored for 30 days before it is automatically erased from the system. We may however need to extract some of the data to provide to the appropriate authorities when requested.
All of the information we collect is kept under strict confidentiality and will be neither sold or given to any other companies. If you enter any competitions run by us then we reserve the right to collect and store your data.
How We Use This Data
The main reasons we collect your data are mentioned in the above section. In general this is to provide a better experience for the customer, employee or supplier when dealing with us.
Marketing – We as a company, may use some of the data collected to promote different offers and products that might have interest to you. This will be conducted either via email or SMS message. You will be given the opportunity to opt out of these if it ever becomes applicable.
Customer Protection and Crime Prevention – Images captured on our CCTV system can be drawn upon at any time in relation to criminal activity that has occurred in the venue. The system is also used as a form of crime prevention.
Improvement Of Experience – We may use your data as a way to improve your experience in the venue through providing targeted offers specific to you.
Keeping your information secure

We reserve the right not to show you CCTV footage relating to any criminal activity that has occurred in the venue.
Payment Over The Phone – Any transactions we take over the phone will be done in the most secure way, away from other employees and customers to protect your personal information.
Security in our offices – Access to any of your personal information is restricted to be viewed as and when its needed to create a better experience for the customer. This information can only be viewed by members of the management team. Any written data will be kept in a secure, locked filing cabinet that is only accessible to the management team and the DPO. Any information stored on our office computer will be encrypted as a matter of standard procedure.
Our website may contain links to other businesses we are affiliated with that you may have an interest in. Any information that you provide once leaving our website through these links does not come under the terms of our private policy. As such, we cannot be responsible for the protection and privacy of this data whilst visiting these websites.
